A camp to come back to between sets
The festival tickets are booked. Now give the group a camp that works even when arrivals and favourite acts differ. Assign the shared kit, check who can access the campsite and agree a few moments to meet again. Your ticket, your purchases and the camp's shared costs can all have different agreements.
Check camping access before assigning kit
- Check the organiser's current camping rules, entry windows, permitted equipment, tent limits and re-entry conditions.
- Confirm each person's festival and camping access separately. Check transport, arrival windows and any vehicle booking requirements.
- Ask about access needs and confirm suitable arrangements with the organiser. Do not assume a campsite, route or facility is accessible.
- List shared equipment separately from personal kit. Give each shared item a named owner, a confirmed arrival and a way home.
- Agree food contributions and purchases in advance. Avoid duplicate supplies, and check what the festival permits before packing.
Give separate arrivals a camp they can find
Decide who arrives first and who brings the equipment needed for setup. Check whether space can be kept for later arrivals under the organiser's rules; do not promise a reserved pitch. Once the camp is located, privately share its actual permitted location and a recognisable description with the people staying there.
Use checked official landmarks and a route everyone can use. Give late arrivals a permitted meeting point, a time window and an agreed next step if the camp cannot be found. Keep tickets and access codes private; a description of your tent is not a substitute for entry access.
Choose your own sets, then meet again
Check the official programme and let smaller groups choose different sets. Agree daily shared moments, such as a meal or campsite check-in, with the people opting in. Choose a clearly identifiable permitted meeting point that everyone can reach, away from busy crowd routes.
“Meet at [checked place] between [start] and [end]. Wait until [agreed time]. If the point is unavailable, use [checked backup]. If we cannot contact each other, follow [agreed next step].”
Save the meeting instructions and useful official information offline before arrival. Agree what to do if someone misses the last reunion; a flat battery should not create an open-ended search. For weather changes or urgent concerns, follow the organiser's official instructions and assistance arrangements. A group meetup does not replace those arrangements.
Leave room for setup and pack-down
- Arrival: enter within confirmed access windows, set up permitted equipment and send checked instructions to later arrivals.
- Festival days: follow chosen sets, allow realistic travel gaps and return for the shared moments you have joined.
- Final night: confirm departures, equipment owners and the campsite's actual checkout requirements.
- Pack-down: allocate cleanup and shared-kit tasks, check nothing is left behind and follow confirmed return journeys.
This is an outline to adapt, not a festival timetable. Use actual bookings, official updates and your group's choices. Someone leaving early needs an agreed handover for shared equipment and their own confirmed journey home.
Separate the camp bill from personal purchases
Six friends attend the festival; four agree to share campsite supplies. If those four divide a fictional €80 purchase equally, each owes €20. The other two are not in that supplies split. Each person's festival ticket and personal purchases remain separate unless agreed otherwise.
Agree who pays upfront and how shorter stays, shared equipment, transport and optional meals are handled before buying. Different purchases may involve different people. This example is not a default fairness rule, and staying at the same camp does not make every cost shared.
