Terms of service

Draft updated 2026-08-15 · Version 2026-08-15-draft

About these terms

These terms govern your use of Cairn, provided by Cairn City, a Dutch eenmanszaak registered under KVK 42104444, VAT ID NL003291428B51. Its visiting address is shielded in the Dutch Business Register. By creating an account, joining a trip or purchasing a Trip Pass, you agree to these terms.

The service

Cairn is software for group-trip execution and after-booking coordination, including shared itineraries, attendance, group content, documents and expense records. Cairn is not a travel agent, tour operator, booking service, transport provider, accommodation provider, payment-transfer service or emergency service. Your group remains responsible for bookings, travel decisions, payments between members and checking important information with the relevant provider.

Accounts and access

Provide accurate account information, keep your sign-in methods and devices secure, and tell us promptly if you believe your account has been misused. You are responsible for activity performed through your account unless mandatory law provides otherwise. Invite links and trip content are intended only for the people your group chooses to include.

Your group and its content

You keep ownership of content you submit. You give Cairn City a limited right to host, process, reproduce and display that content only as needed to operate, secure and improve Cairn. You must have the rights and permissions needed for content and personal data you add. Group members may rely on shared information, so use appropriate care and remove access when someone should no longer be part of a trip.

Pricing and payment

The Trip Pass costs €29 as a one-time payment for one trip and removes the published free-plan limits for that trip. Stripe processes payment. The displayed consumer price includes VAT where applicable. We may change features or prices for future purchases, but that does not change a Trip Pass already purchased for a trip.

Your right to withdraw (cooling-off period)

If you are a consumer entitled to the EU withdrawal right, you may withdraw from a Trip Pass purchase within 14 days after purchase without giving a reason. Use “Cancel Trip Pass” in Trip Settings or email hello@cairn.city with enough information to identify the purchase. Cairn provides a full and unconditional €29 refund to the original payment method and confirms the withdrawal and refund in writing. Using the Trip Pass during the 14-day period does not remove this stated right.

Mandatory consumer guarantees

Consumers have mandatory rights when digital services do not conform to the contract, including remedies required by applicable law. These terms do not replace or reduce those rights, and nothing here excludes a remedy that mandatory consumer law requires.

Acceptable use

Do not use Cairn unlawfully; harm, threaten or harass people; interfere with the service; bypass security or access controls; upload malicious code; scrape or overload the service; impersonate others; or submit content you do not have the right to share. We may restrict content or access when reasonably necessary to protect users, the service or legal compliance.

Availability and changes

We aim to keep Cairn available, but maintenance, security incidents, provider failures and events outside our reasonable control can interrupt it. We may change or discontinue features for legitimate operational, legal or security reasons. If a material change adversely affects a paid Trip Pass, mandatory consumer remedies remain available. Do not rely on Cairn as the only copy of tickets, emergency details or other critical information.

Cairn intellectual property

Cairn's software, design, branding and provider-supplied content are protected by intellectual-property rights. These terms give you a personal, limited, non-exclusive, non-transferable right to use the service as intended; they do not transfer ownership of Cairn or third-party content to you.

Liability

Nothing in these terms excludes or limits liability, guarantees or remedies that cannot legally be excluded or limited. To the extent permitted by law, Cairn City is not responsible for third-party bookings or services, conduct of group members, or loss caused by inaccurate information supplied by users or external providers. Any further limitation applies only to the extent it is fair and enforceable under the law that protects you as a consumer.

Ending your account

You can request account deletion in Profile. The request has a 30-day cancellation period and may be blocked while you organize active trips with other members. Shared group history can be de-linked rather than removed, as explained in the privacy policy. We may suspend or close access for a material or repeated breach, security risk or legal requirement, using proportionate notice where the circumstances allow.

Complaints

Send a complaint to hello@cairn.city with the account or purchase details needed to investigate it. We will acknowledge receipt promptly and aim to provide a substantive response within 14 days. If more time is reasonably needed, we will explain the delay and give a new expected response date.

Governing law and disputes

These terms are governed by Dutch law. If you are a consumer, this choice does not deprive you of mandatory protection provided by the law of your country of habitual residence, and mandatory jurisdiction rules continue to apply. Please contact us first so we can try to resolve a dispute. Cairn City is not currently affiliated with an alternative dispute resolution body.

Changes to these terms

We will identify the current version and date above. We may update these terms for legal, security, operational or service changes. Where required, we will give reasonable advance notice and explain any options available to you. A change does not retroactively remove mandatory rights or an agreed Trip Pass entitlement.
