Plan a camping weekend without duplicate supplies or missing kit

Decide who brings the shared equipment, keep it apart from everyone's personal kit, and agree how food and costs are shared before you set off.

A checklist for the organizer

  • Assign each piece of shared equipment to one person.
  • Read the campsite's own instructions and share what matters with the group.
  • Agree arrival windows so setup is not left to one person.
  • Divide food contributions meal by meal.
  • Name a weather alternative that the organizer will choose.

List shared equipment and personal kit separately

Shared equipment is what the group uses together, such as a cooking set, a large shelter or lighting. Personal kit is what each person needs for themselves, such as bedding and clothing. Keep two lists. Otherwise several people bring the same stove while nobody brings the water container.

A weekend outline to adapt

  1. Arrive: each person comes within the agreed window.
  2. Set up: shared equipment first, then personal space.
  3. Shared meal: the contribution each person agreed to bring.
  4. Optional activities: a choice, so no one is obliged to join.
  5. Pack down: leave the pitch as the site asks.

Follow the site's instructions and plan for weather

Every campsite sets its own rules. Follow the site's published instructions rather than this checklist. Agree in advance what the organizer will do if the weather turns, so the group is not deciding in the rain.

Agree how food and pitch costs are shared

Do not assume an equal split. Someone who joins for one night, or skips a meal, may reasonably pay a different share. Record each cost against the people it covers, and agree the rule before anyone pays.
