Bring several households together without over-planning
Households arrive at different times, and not everyone eats every meal. Agree the shared moments, leave room for the rest, and share the jobs.
A checklist for the organizer
- Confirm how many people are coming from each household.
- Collect each household's arrival and departure window.
- Assign food contributions so meals are covered without duplicates.
- Leave space for optional activities rather than filling every hour.
- Name who handles setup and who handles cleanup.
Household attendance is not meal attendance
A household may be at the reunion all weekend but skip the Saturday dinner, or arrive just for the meal. Record who is at each shared meal separately from who is staying, so quantities and contributions match the people who will actually eat.
A weekend outline to adapt
- Arrivals: each household arrives within its window.
- Welcome: a short moment when everyone present says hello.
- Optional activities: clearly marked as optional, so no one feels obliged.
- Shared meal: the main time everyone is together.
- Photo: one group photo while most people are still there.
- Departures: households leave as their windows allow.
Review the order against who can actually be present at each point.
Share each cost with the people it covers
If three of five households eat a catered meal, review that cost for those three households. A household that only visits for the afternoon does not automatically share the accommodation or the dinner. Agree who is included and how to split each shared purchase before recording it.

Share dietary needs, health information, addresses and phone numbers only in your private group space. This public checklist explains what to organize, not your family's details.
