Keep a sports trip together across several venues

Different sessions can send friends in different directions. Once your sports trip is booked, make each person's commitments and venue transfers visible, then agree when the group will come back together. Everyone does not need to attend or travel to every session.

A checklist for the organizer

  • List each person's sessions and who attends each one.
  • Verify venue addresses and the entrance for each session.
  • Review transfer feasibility before committing to the next session.
  • Agree a daily shared anchor that each person can reach.
  • Separate journey costs by the people taking each ride.

Check the whole transfer, not just the map distance

Use current organiser information to confirm the venue address, entrance, session timing and entry rules. Check current transport information for the journey between venues. Allow for leaving the first session, reaching the stop or pickup point, the journey, walking to the next entrance and any admission checks. A short distance on a map does not prove a transfer is feasible.

If two sessions overlap or the transfer is uncertain, choose which session to attend rather than promising both. Record who is making each journey; people staying at one venue do not need to follow the travelling group. Save the agreed addresses and meeting instructions somewhere each person can check without a connection.

A multi-venue outline to adapt

  1. Arrival: confirm where each person starts and who travels together.
  2. Venue and session groups: follow each person's chosen sessions and verified venue instructions.
  3. Regroup: meet at the daily shared anchor if your sessions and travel allow it.
  4. Next sessions: check the transfer again and split into the agreed travel groups.
  5. Departure: confirm who leaves from which venue and who shares the journey home.

Adapt this outline to your actual sessions and current official information. It is not an event timetable or a transport route.

Give the day one shared anchor

A meal or meetup can keep the group connected even when people choose different venues. Agree a specific place, a time window and who can join. Check access and travel from each person's final session before calling it the group's meeting point. Leave room for someone to skip the anchor if their session runs late.

Decide who will share changes and what to do if someone cannot make contact: a fallback meeting point, a waiting window and the next step. Tell the group when a change affects only one travel group so everyone else can keep their own arrangements.

Keep separate journeys separate in the costs

Agree who shares each ride or meal before anyone pays. If three of six people take a taxi to the next venue, record that ride for those three; do not automatically include the whole group. Keep individual session tickets separate from shared journey costs. The daily meal may have a different set of participants again.

Keep venue and transport information current

Venue addresses, entrances, schedules and access rules must come from current organiser information; journey options and service changes come from the transport provider. Recheck them before each travel day. This guide covers general group coordination. It does not provide a venue-specific route, guaranteed transfer time or a verified LA 2028 itinerary.

Keep one plan the group can check

Cairn's manual friends' weekend demo shows an itinerary, dinner attendance and an illustrative expense split among the six dinner attendees. It is a fictional demonstration, not a multi-venue sports itinerary or a created trip.
