One concert, a whole weekend together
The concert is booked, but the group may arrive on different trains, stay different nights and leave at different times. Build the weekend around the performance, with clear check-in arrangements and a return journey for everyone. Keep the optional time around it flexible.
Connect arrivals with check-in
- Collect each person's arrival window, departure time and nights staying.
- Confirm the accommodation address, check-in window and who can collect the keys.
- Check luggage arrangements if someone arrives before check-in or leaves after checkout.
- Share booking references and access instructions privately with the people who need them.
- Give late arrivals a checked destination and contact, so they can join without delaying the group.
Work back from the official show details
Check the ticket issuer's and venue's current information for the date, address, doors, entry requirements and performance times. Doors opening is not the same as the show starting. Different ticket areas may mean separate entrances or places inside; do not promise the group can enter or stand together.
Agree a pre-show meetup and a latest departure from the accommodation. Check the real journey, allowing for queues and delays. Make dinner optional if it leaves too little time for entry. Each person should confirm access to their own valid ticket before leaving.
Agree the journey back before the show
Check late services, their last departure and any disruption with the operator. Confirm who is travelling together, who has another route and what the group will do if the show ends later than expected. A suggested service is not a confirmed ride or a guaranteed connection.
“After the show, meet at [checked place] by [time]. If we cannot contact each other, use [checked backup place] until [time], then follow [agreed return arrangement].”
Choose permitted, identifiable places away from busy exits. Save the accommodation address and agreed instructions before departure, in case mobile service is poor. Tell the group if your plans change.
A weekend outline to adapt
- Arrival day: travel, luggage arrangements and check-in, then an optional shared meal.
- Show day: flexible daytime plans, a pre-show meetup, entry, the concert and the agreed journey back.
- Departure day:checkout tasks, key return and each person's onward journey.
Replace this outline with your actual dates and bookings; the concert may be on arrival day. Confirm checkout responsibilities before the earliest guest leaves, without making everyone share one departure.
Keep tickets, the stay and local journeys separate
Six friends attend the concert; four agree to share a fictional €48 ride back equally, so each owes €12. The two using another route are outside that ride split. Concert attendance alone does not decide who shares a journey cost.
Record who paid for each purchase and agree its participants and rule before recording an expense. Tickets can have different prices; accommodation may cover different nights. Agree those amounts and any cancellation responsibilities separately. The equal ride split is an illustration, not a default rule for the whole weekend.
