Agree the reunion before entering the crowd

Your tickets may put you in different sections, and people may arrive from different directions. Set up both the pre-event meeting and the plan for finding one another afterwards.

Check with the organizer

  • Confirm access to each person's valid ticket.
  • Review the current venue address, entry instructions, bag policy and accessibility information.
  • Check whether different ticket areas have different entry requirements.
  • Use the official schedule and current transport information.
  • Choose meeting places where the group is permitted to gather.

This generic checklist supplies no gate number, arrival buffer or venue policy. Add those only after checking the official information for your actual event.

Write a meetup instruction people can use

Agree one instruction for meeting before the event and another for finding one another afterwards. Use this fill-in format:

“Meet at [chosen landmark and location] at [time]. If we cannot meet there, go to [checked backup place]. We will wait until [agreed time], then follow [agreed next step].”

The organizer should select and confirm both places. Do not rely on “outside the stadium” when there are several exits. Share the agreed instructions before the group separates.

An event-day outline to adapt

  1. Arrival: separate journeys, then the agreed pre-event meetup.
  2. Entry:follow each person's ticket instructions.
  3. Event:enjoy the event, following each person's ticket instructions.
  4. Afterwards: the agreed post-event reunion, then confirmed return journeys.

Review the order against your actual bookings. Confirm how each person is getting home before the event.

Keep smaller-group costs separate

If four of eight people take one taxi, review that taxi expense for those four. Tickets purchased individually do not become a shared expense just because the group attends together. Agree who is included and how to split each shared purchase before recording it.

Keep ticket details private

Share ticket codes, booking references and phone numbers only in your private group space. This public checklist explains what to organize, not your group's details.

Keep one plan the group can check
