A checklist for the organizer
- List the sessions the group has chosen.
- Confirm who attends each session.
- Mark which tickets are fixed and which plans are still optional.
- Set a regrouping window for each day.
- Review the travel gaps between sessions.
Not everyone needs to be at every session
Supporters often split up across a tournament. Write down each person against each session so the group can see who is where, and keep fixed tickets apart from plans that could still change. Confirm session times and details with the official organiser before relying on them.
A weekend outline to adapt
- Arrival: each person arrives in their own way.
- Session choices: who is going to which session.
- Daily shared meal: one regular point where the group comes back together.
- Later sessions: the next round of choices, with travel gaps checked.
- Departure: travel home, with times agreed.
Check the order against who can actually be there at each point.
Session changes can change who shares a cost
If someone swaps sessions, the transport they share and the meals they join may change with it. Do not assume an equal split. Record each cost against the people it covers, and agree the rule before anyone pays. A session ticket can be recorded against the person who attends, while a shared ride or meal can be split among those who take part.
